CRHF Business Assistant, Adriatic West

Key Responsibilities:
To provide comprehensive business support, in particular:

  • assist teams with general administration, back office support, travel arrangements, correspondence, compiling data, vendors, invoices, contracts, cost control, meeting minutes and reports, eCATS creation, PO numbers, invoice tracking and other tasks as required,
  • take care of full scope of organization of trainings, meetings, events, as well as the follow-up of evaluation, and additional information requests,
  • provide administrative and logistical support (documents flow),
  • take care to align business activities with legal, business compliance and financial aspects and requirements, ensure proper follow-up on duty fulfillments; follow-up with finance that payments are done on time,
  • communication with vendors, preparation of groundwork for finance and accounting service,
  • process and archive documentation, corporate and authorities` documents, personnel related administration, preparing document for insurance, car ordering,
  • plan, schedule and support business meetings organization,
  • fulfill other administrative and organizational tasks as requested by direct superior. To attend all required regional and national meetings.

To provide office support:

  • ensures office runs smoothly and efficiently,
  • efficient office supplies ordering

Main requirements:

  • University degree
  • Min. 2-year experience on similar position (not requirement, but may be advantage)
  • Strong planning and organizational skills
  • Excellent communication skills - written & oral
  • Results/solutions oriented ('get it done')
  • Ability to work in complex organizations
  • Ability to cope with demanding workload
  • Multi-tasking and prioritizing, with attention to details
  • Proactive, independent, self-sufficient
  • Excellent computer skills, with excellent knowledge of Excel, PowerPoint, Word and Outlook
  • Team player
  • Integrity/confidentiality
  • Creative thinking, with focus on development of business processes
  • Organizational skills
  • Fluent English and Croatian both written and spoken
  • Full clean driving license will be an advantage
  • Willingness to travel, if required
