The European Patent Office (EPO) - the second-largest public institution in Europe, with 7 000 staff members and a self-financed annual budget of EUR 2bn - is looking for a head of its Unit Controlling/Special Tasks department.

Under the leadership of the Principal Director General Administration, the successful candidate will provide strategic, operational and expert support to her and her management team, while ensuring alignment with EPO rules and business goals. Being a member of that team will also involve line-management responsibilities for a small group of staff.

Principal Directorate General Administration is accountable for all buildings-related services, including maintenance, technical installations and equipment (e.g. video-conferences), and for internal services, language services and managing the EPO's art collection. It comprises some 240 staff members spread over all four EPO sites.

Main duties
• Financial and post-related budget planning and controlling for Principal Directorate General Administration, in close co operation with the office of the Vice-President of Directorate General 4 and other stakeholders such as Finance, Controlling and Human Resources
• Functional business process analysis, modelling and continual optimisation support for Principal Directorate General Administration leaders, with a focus on cross-site harmonisation and efficiency
• Advising the principal director on the design and implementation of lean business processes and organisational and workforce models based on best practice and fit-for-purpose considerations
• Co-ordinating the further development of Principal Directorate General Administration-specific IT tools and systems (e.g. CAFM/Archibus), in close co operation with Application Management, and acting as key user for them
• Project-management assignments as required
• Further tasks as assigned by the principal director.

Candidate profile
The ideal candidate will have
• at least 7 years' proven experience in a similar role, preferably acquired in a service-driven environment relating to buildings and facility management
• a degree in business administration, industrial engineering or similar
• a proven ability to apply up-to-date business process analysis and modelling tools as well as financial controlling tools and methodologies
• a proven ability to apply financial regulations
• very good computer literacy, especially in area-specific IT applications such as CAFM
• excellent analytical and numerical skills
• leadership experience
• the capability to deliver on time, adapt swiftly to changing priorities under tight deadlines, monitor own progress against targets, and immediately take any corrective action needed
• very good written, oral and interpersonal communication skills
• the ability to maintain trusted contacts with varied counterparts
• the willingness to travel occasionally.

Minimum qualifications
Diploma of completed studies at university level or – in exceptional cases – equivalent professional experience. Excellent knowledge of one official language and ability to understand the other two.

The successful candidate will be selected on the basis of qualifications and relevant experience, supplemented as appropriate by interviews, tests and/or a personality questionnaire.
