The Assistant is responsible for providing comprehensive, high quality administrative and secretarial support to staff from various teams represented in Resident Office (RO), and also works in cooperation with external service providers.

Accountabilities & Responsibilities

To provide high quality secretarial support to Bank staff including inter alia:
  • Drafting routine business correspondence, editing, translating, photocopying, scanning, binding and filing documents;
  • Arranging internal and external meetings, prepare various materials for meetings;
  • Organising conference calls, video conferences; Managing diaries of the bankers;
  • Assisting in the organisation of workshops and seminars as need arises;
  • Providing assistance to bankers in project preparation; Other secretarial and administrative duties as required.

To work in cooperation with service providers and provide administrative support to staff including travel and other travel related arrangements including inter alia:

  • Hotel bookings, flight bookings, taxi bookings
  • Visa arrangements when necessary
  • Processing of travel expenses.
Reception cover that includes:
  • Dealing with general enquiries
  • Answering and screening phone calls
  • Sending faxes
  • Distributing mail
  • Greeting visitors as they arrive at the office
  • Preparing meeting rooms with presentation equipment/materials and refreshments.


Knowledge, Skills, Qualifications & Experience
  • Higher education.
  • Fluent English, with excellent written and oral communication skills.
  • Secretarial and administrative experience essential.
  • Good organisational skills, proactive and flexible attitude to work essential.
  • Good communications skills, including pleasant and efficient telephone manner.
  • Attention to detail and eye for accuracy.
  • Ability to cope well under pressure.
  • Ability to build effective working relationships with clients and colleagues in a multicultural environment. Strong team player.
  • Ability to multi-task while remaining calm and professional and a capacity for hard work.
  • Excellent interpersonal manner, including tact, diplomacy and discretion.
  • Computer literate: Windows XP: Microsoft Outlook, Word, Excel, PowerPoint.
