LUXURYCROATIA.NET is established real estate and travel agency focused on sales and rentals of luxury villas along the coast and islands of Dalmatia and Istria. Purpose of Operations Administrator in LuxuryCroatia.net Team is to provide administrative support including:
• filing, archiving, collecting of data, processing of documents and other general office support activities.
• scanning, copying, responding promptly and accurately to clients/partners/suppliers/customers inquiries, emails, phone calls, redirecting to director or sales department,
• uploading properties onto agency website, creating and writing descriptions of properties in Croatian and English, creating content on the website and partnering portals, following up all activities related to agency website and content, correcting of content, updating information, calendars, prices, articles etc.
• everyday assistance to director and sales department, also in projects and processes of importance or in busy summer periods,
• handling and administrating in accounting matters, preparing travel warrants and diems, preparing outgoing invoices, checking incoming invoices, keeping records, preparing and delivering documents to accounting office on other location, corresponding with accounting office on all related matters,
• communication and linking with the relevant authorities to obtain or deliver documents, including cadaster, land registry, water or electric company etc.
• communication, correspondence and contacting relevant suppliers, developers, partners, clients to obtain offers, prices or information related to ongoing projects
• assist director in scheduling of meetings, prepare and organize business trips, checks information on travel conditions, travel with director if needed, etc
• performs other duties within office as assigned by director or sales staff.

• Thorough knowledge of current office procedures.
• Strong organizational, clerical and administrative skills.
• ability to organize and prioritize assigned tasks.
• Clear and conceptual thinking ability; excellent judgement and discretion; ability to handle work-related stress; ability to handle multiple priorities simultaneously; and ability to meet deadlines
• ability to work independently.
• Previous experience in office administration or sales is advantage.
• motivated and focused on delivering results
• Must have strong PC and internet skills, expert (emailing, internet search, word, excel, knowledge of wordpress, cms or webdesign is advantage)
• Excellent verbal and written communication skills in English, excellent correspondence skills
• Ability to work under time limit pressure, sometimes weekends
• Must be able to handle a large volume of mails and calls, multitasking abilities
• Must have a positive attitude and the ability to work in a team environment or individually
• Car driving experience not required but is advantage
• Ability to learn fast and understand needs of office and work processes, creative and fast thinker
• Fluent in English, knowledge of German, Russian or French highly preferred
• Ability to type fast (40 words per minute) is must,
