A Day in the Life

Principal responsibilities of Office Coordinator and Country Manager Assistant:

General Tasks:

  • Assists team and CM with general administration (letters, payments, expenses and invoice handling, relocation issues).
  • Organizes and co-ordinates team, meeting arrangements and associated tasks.
  • Issues letters, reports, forms, certificates, drafts brief memoranda or letters of a routine nature.
  • Identifies issues in documents, memos, correspondence or telephone calls that require action and handles by selecting from available alternatives.
  • Provides logistical support (ordering of materials, office supplies, furniture, business cards).
  • Sends out information, mass mailings as requested.
  • Work with other Assistants and colleagues to ensure best practices.
  • Employees' Health and Safety as aligned with local and MDT requirements.

Specific Tasks:

  • Provides general office and CM support, including travel arrangements, correspondence, organizational charts, compiling data, expenses, invoices, accruals, back charges, cost controlling, vendor contract management, calendar management and meeting minutes and reports.
  • Organizes meetings and trainings (incl. venues, agendas, handouts, dinners, team outings, contracts and visas -when necessary) and team events, while ensuring best value for money.
  • Takes care and responsibility of office image.
  • Maintains direct contact with the BM's in the region and in HQ, in order to ensure a good working relationship with open communication.
  • HR local administrative support as required.
  • Health and Safety local administrative support as required.
  • Contracts/ BCS/ legal issues - coordinates and follows up with Legal, ensures proper follow-up on duty fulfillments; follows-up with Finance and EOC that payments are done on time.

Must Haves and Nice to Haves
Must haves:

  • University degree.
  • Min. 5 years of experience in similar role, including Personal Assistant experience.
  • Excellent computer skills, with excellent knowledge of Excel, PowerPoint, Word and Outlook.
  • Fluent English and local languages, both written and spoken.
  • Strong planning and organizational skills.
  • Excellent communication skills - written & oral.
  • Results/Solutions oriented ('get it done').
  • Ability to work in complex organizations.
  • Ability to cope with demanding workload.
  • Multi-tasking and prioritizing, attention to details.
  • Proactive, independent, self-sufficient.
  • Diplomatic, discreet, properly managing confidential information.
  • Team player.
  • Integrity/Confidentiality
  • Creative thinking, with focus on development of business processes.
  • Full clean driving license.
  • Willing to travel, if required.
